Orbit is a professional B2B platform designed for hotel operations. We collect data in two ways: information provided by your hotel workspace administrator when creating staff accounts, and details you input directly while using the application.

• Account Credentials: Email address, staff name, employee ID, role classification (e.g., Housekeeping, Front Desk, Maintenance), and contact phone number.
• Operational Content: Task details, task progress status, notes, room numbers, checklists, and internal communications sent within the platform to manage guest service requests.
• Media Uploads: Photos or images attached to task records (such as documenting a completed task, reporting damaged property, or uploading lost-and-found items).

2. Device Permissions & Hardware Access

To provide operational functionalities, the Orbit Mobile application requests access to specific device capabilities. These permissions are only accessed when active features require them:

• Camera Access: Used exclusively to capture and attach real-time photos to task cards, reports, and lost-and-found files.
• Photo Library Access: Used to select existing pictures from your camera roll to upload as task evidence or references.
• Microphone & Camera (VoIP): Used to support inter-staff audio and video calls directly within the app, allowing team members to quickly coordinate.
• Push Notifications: Used to send real-time alerts about newly assigned tasks, status changes, and critical messages from your team.

3. Purpose of Data Usage

We use the collected information solely for operating, maintaining, and improving the Orbit platform. Your data is used to:

• Authenticate and verify your identity upon login.
• Assign and organize room-service and maintenance tasks to appropriate staff.
• Route instant messages and support video/audio calls between departments.
• Analyze system performance, troubleshoot operational errors, and enhance the overall platform usability.

We do not sell, rent, or trade your personal data to third-party advertising companies or data brokers.

4. Third-Party Service Providers

Orbit uses reputable cloud hosting and infrastructure partners to run securely:

• Google Cloud & Firebase: Used for secure database hosting, user authentication, media storage, and Firebase Cloud Messaging (FCM) for push notifications.
• Twilio / WebRTC Infrastructure: Used to securely transmit real-time video and audio signals for voice/video calls.

All data transmission is encrypted in transit using industry-standard TLS protocols, and stored data is protected with AES-256 encryption.

5. Account Deletion & Data Retention

We offer a straightforward method for users to delete their account and personal information:

• How to delete your account:You can request account deletion directly from the mobile app. Navigate to Settings / Profile, scroll down, and select Delete Account. This will initiate the permanent deletion process of your user profile, credentials, and settings.
• Alternative Deletion Request:If you cannot access the application, you can request account deletion by emailing our support team at support@theorbit-app.com or by requesting your hotel workspace administrator to remove your user profile.
• Data Retention Policy:Upon account deletion, all personal credentials and private keys are immediately and permanently removed from our databases. Anonymized operational logs (such as tasks marked as completed in the past) are retained only to maintain historical accuracy for hotel operation logs.

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last Updated" date at the top. We recommend checking this page periodically to remain informed of how we protect your information.
